How StreetLoop collects, uses and protects personal information when you use our website, get in touch or apply to become a StreetLoop venue.
Last updated: 4 October 2026
Summary
The short version:
- We collect the information you give us through our forms, by email or by phone.
- We use it to reply to you, plan campaigns, assess venues, provide support and run our business.
- We do not sell personal information, and we do not use advertising or tracking cookies.
- Form submissions are processed and stored in London.
- You have rights over your information, and you can contact us about them at any time on hello@streetloop.co.uk.
Who we are
This website, streetloop.co.uk, is run by StreetLoop Ltd, trading as StreetLoop (“StreetLoop”, “we”, “us”). StreetLoop operates a network of digital advertising displays in shops and other everyday venues.
We are the controller of the personal information described in this policy. This means we decide how and why it is used, and we are responsible for looking after it. We have not appointed a data protection officer. For any privacy question or request, email hello@streetloop.co.uk.
What this policy covers
This policy applies to personal information about:
- people who visit our website;
- people who contact us or make an enquiry, including advertisers, agencies and their staff;
- shop owners, managers and staff who apply for their venue to join StreetLoop, or who sign an agreement with us for their venue;
- people who ask us for support; and
- contacts at the businesses we work with or may work with.
It does not cover the websites of advertisers whose campaigns appear on StreetLoop displays, or other websites we link to. Advertiser and venue accounts, when they launch, may come with additional privacy information, which we will make available at that time.
Information we collect
Information you give us
Depending on how you contact us, this may include:
- Campaign enquiries: your name, business and brand name, industry, email address, telephone number and website, and details of the campaign you are planning (such as objectives, preferred display formats, areas, dates, creative and notes).
- Venue applications: your name, role, mobile number and email address, the best time to contact you, and details of your venue: name, trading or company name, venue type, website or social profile, address and postcode, areas that may suit a display, opening hours, number of tills, approximate customer numbers and any photos you choose to send.
- Venue sign-ups and agreements: when a venue joins StreetLoop, the details in its Venue Schedule (business and venue details, contact details, the displays agreed and the Monthly Fee), photos of the agreed display positions and, for each person who signs, their name, position, email address, signature and the time they signed. When an agreement is completed, we also record the IP address and device details of the connection used, as evidence of when and how it was signed. Later, we collect the bank details we need to pay the Monthly Fee.
- Contact and support requests: your name, company, email address, telephone number, the type of enquiry or topic, the venue or campaign concerned, where a screen is located, and your message.
- Emails, calls and meetings: what you tell us when you get in touch or when we speak with you, and notes of those conversations.
Please do not send us sensitive information, such as details about health, religion or ethnicity. We do not need it.
Photos of venues
Photos help us see whether a space suits a StreetLoop display. Please photograph the space itself and avoid including customers, staff or other people where you can. If people do appear, we use the photos only to assess the venue, and we do not use them to identify anyone. Photos taken on phones can contain hidden details, such as when and where they were taken. Our website removes these details from most photos before they are uploaded. Where it cannot, we do not use them. Photos are kept and deleted in line with the periods set out in “How long we keep information”.
Information collected automatically
When you visit our website, our hosting provider automatically processes technical information needed to deliver pages to you and keep the site secure. This includes your IP address, browser and device type, the pages you request and the time of the request. If something goes wrong while a form is being sent, these technical logs may also record limited details of the submission. We do not use analytics, advertising or social media tracking tools on this website. See our Cookie Policy for the small number of cookies we use.
Information from other sources
When we assess a venue or prepare to speak with a business, we may look at publicly available business information, such as the business’s own website, social media pages, online map listings or Companies House records. If someone recommends you to us, we may also receive your business contact details from them.
How we use information and our lawful bases
Data protection law requires us to have a lawful basis for each way we use personal information. The table below sets out what we do and why.
| What we do | Information used | Lawful basis |
|---|---|---|
| Replying to enquiries, messages and calls | Contact details and what you tell us | Legitimate interests (responding to people who contact us and developing our business). Where you ask about advertising, also taking steps at your request before entering into a contract. |
| Planning and proposing advertising campaigns | Campaign enquiry details and business contact details | Taking steps at your request before entering into a contract; legitimate interests (responding to businesses interested in advertising with us). |
| Assessing venue applications, arranging site reviews and preparing venue agreements | Venue application details, including any photos you send | Taking steps at your request before entering into a contract; legitimate interests (deciding whether a venue is suitable for StreetLoop displays). |
| Signing up venues, signing and keeping venue agreements, and paying the Monthly Fee | Venue sign-up details, site photos, signatures and signing records, and bank details | Performing our contract with you, or taking steps at your request to enter into it (where you sign as a sole trader or partner); otherwise legitimate interests (managing our agreements with businesses and keeping a reliable record of who signed and when); legal obligation (accounting and tax records). |
| Providing support for venues, advertisers and screens | Support request details and contact details | Performing our contract with you or your business; otherwise legitimate interests (helping people who use or host our services). |
| Managing our business relationships and keeping records | Contact details, correspondence and notes of our dealings with you | Legitimate interests (running our business and keeping proper records of our dealings); legal obligation (for example, accounting and tax records). |
| Keeping our website and systems secure and preventing spam or misuse | Technical information and form submissions | Legitimate interests (protecting our website, our business and the people who use it). |
| Sending occasional updates about StreetLoop | Business contact details | Legitimate interests (telling business contacts about StreetLoop) for contacts at companies; your consent for sole traders and partnerships (see “Marketing”). |
| Meeting legal and regulatory duties, and establishing or defending legal claims | Any of the above, where relevant | Legal obligation; legitimate interests (protecting our business and resolving disputes). |
Where we rely on legitimate interests, we have considered your interests and rights and concluded that our use is proportionate. You have the right to object, as explained in “Your rights”.
The tick box on our forms confirms that you have read this policy. We do not rely on that tick box as consent to use your information, because replying to you and assessing your enquiry are covered by the lawful bases above.
You do not have to give us any information. However, if you do not provide the details marked as required on a form, we will not be able to respond to your enquiry or assess your venue.
We do not make decisions about you using solely automated processing, and we do not profile you.
Marketing
We may occasionally email business contacts about StreetLoop, for example about new areas, venues or advertising opportunities. We will only do this where the law allows. For contacts at companies, we rely on our legitimate interests. If you are a sole trader or in a partnership, we will only send you marketing emails if you have agreed to receive them.
Every marketing email will include an easy way to unsubscribe, and you can also email hello@streetloop.co.uk at any time. We do not share your details with other organisations for their own marketing.
Where your information is stored
Our website runs in our hosting provider’s London region, and form submissions are stored in a database hosted in London.
Some of our service providers are based in the United States or operate globally. This means information may be accessed from or processed outside the UK, for example for technical support, security monitoring, or delivering web pages and email through their worldwide networks. Where this happens, we make sure it is protected by:
- UK adequacy regulations, which include the UK extension to the EU–US Data Privacy Framework (the “UK–US data bridge”) for providers certified under it, such as Vercel; or
- contracts approved for UK transfers, such as the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
To find out more, or to ask for a copy of the safeguards we rely on, email hello@streetloop.co.uk.
How long we keep information
We keep personal information only for as long as we need it:
| Information | How long we keep it |
|---|---|
| Enquiries that do not lead to working together | 2 years after our last contact with you. |
| Venue applications that do not go ahead, including photos | 12 months after our last contact about the application (so we can pick things up again if circumstances change). |
| Venue partners and advertisers we work with, including signed agreements and signing records | For as long as we work together, then 6 years after the relationship ends (for legal, tax and accounting purposes). |
| Support requests | 2 years after the request is closed, or longer if it relates to a live agreement. |
| Marketing contact list | Until you unsubscribe or we stop sending updates. |
| Spam and test submissions | Deleted as soon as we can, and within 3 months. |
| “Do not contact” requests | For as long as needed to make sure we respect them. We keep only the minimum needed to do this. |
| Technical logs kept by our hosting provider | For a short period set by our hosting provider. We do not keep separate copies. |
At the end of these periods we delete the information or anonymise it so that it no longer identifies anyone. Deleted information may stay in our providers’ backups for a short time before it is overwritten. We may keep information for longer if we need it to deal with a complaint or legal claim, or if the law requires it.
How we keep information secure
We use appropriate technical and organisational measures to protect personal information. Our website is served over an encrypted connection (HTTPS). Form submissions are stored in a database that can only be reached with secure credentials over an encrypted connection. Only a small number of authorised people at StreetLoop can view submissions, through a password-protected admin area and our service providers’ secured accounts. We choose service providers with strong security practices. No system is completely secure, but we work to prevent unauthorised access, loss or misuse. If a data breach is likely to put your rights at high risk, we will tell you.
Your rights
Under UK data protection law you have the right to:
- access the personal information we hold about you and receive a copy;
- correct information that is inaccurate or incomplete;
- ask us to delete your information;
- ask us to restrict how we use your information;
- object to our use of your information where we rely on legitimate interests, and to marketing at any time;
- data portability, which means receiving information you gave us in a commonly used electronic format, or having it sent to another organisation, where this applies; and
- withdraw consent at any time, where we rely on your consent.
Some of these rights only apply in certain circumstances. To use any of them, email hello@streetloop.co.uk. We may ask you to confirm your identity first. We will respond within one month, or tell you if we need longer for a complex request, as the law allows. There is normally no charge.
Complaints
If you are unhappy with how we have handled your personal information, please tell us first by emailing hello@streetloop.co.uk with “Data protection complaint” in the subject line. We will acknowledge your complaint within 30 days, look into it promptly and keep you updated on our progress.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator:
